JOB SUMMARY

The Destination Services Manager provides world-class event services support to meetings, conventions, and event planners. This role serves as the liaison between an event organizer and the greater Richmond community to drive business locally and works to maximize the economic impact of events for the Richmond region.

MANAGEMENT FUNCTIONS:

  • Support the Director of Destination Services and the Senior Event Services Manager with implementing new convention & event services strategies and activations.
  • Lead planning support for internal, Richmond Region Tourism community facing events as requested (i.e. RVA Champions, RVA Sports Awards, National Travel & Tourism Week events, etc.)
  • Manage vendor contracts and logistics of on-site activations for assigned accounts
  • Represent Richmond Region Tourism’s destination services department at industry conferences, regional events and local community groups

 

ESSENTIAL JOB DUTIES & RESPONSIBILITIES

  • Interaction with convention/meeting planners to establish relationships and determine groups’ specific needs based on size, unique characteristics, and requirements to facilitate a successful event.
  • Collaborate with all departments of Richmond Region Tourism to support event planning needs for both internal and community facing events.
  • Provide event services support to Group Tour FAMs and client events as needed.
  • Facilitate on-site services for assigned accounts, including welcome signage activations, group tour experiences, on-site Visit Richmond presence, sponsorship activations, shuttle transportation, and other event services specified by the client.
  • Have an understanding of hotel contracts and clauses, especially attrition clauses.
  • Cultivate and manage relationships with the hospitality and event service provider community throughout funding jurisdictions to include venues, restaurants, attractions, hotels, local authorities (police/government) and non-profits.
  • Post-event client communication via personal contact and/or electronic survey, with specific attention to any concerns that warrant further investigation and/or correction. 
  • Understand, utilize, and maintain accurate records in RRT’s CRM (Customer Relationship Management) software system.

 

ESSENTIAL EDUCATION / EXPERIENCE PREFERRED:

  • High school diploma or equivalent (GED) is required.  AA/AS degree preferred.
  • 3 years or more (extensive and varied) experience in the hospitality industry or meeting/event planning industry
  • Primary contacts are with reporting staff, other managerial employees, top management, and clients
  • Extensive knowledge of Richmond region area, its history/attractions/museums, service providers, off-site options, dining options, entertainment options  
  • Strong customer service attributes, including the ability to organize, prioritize and meet deadlines, are necessary.
  • Excellent presentation, verbal and written communication skills
  • Experience with Microsoft Office programs and customer relationship management (CRM) database programs
  • Knowledge/experience with virtual meeting platforms (Zoom/Teams)
  • Knowledge/experience building relationships with clients, vendors, and diverse business owners

WORKING CONDITIONS:

Heated and air-conditioned office environment. The noise level is usually low to moderate.  May be required to occasionally travel, work off-site and represent the organization at work-related functions. Occasional weekend, evening, and night work required.
